Surveys have been a part of the post event wrap-up for decades evolving from cumbersome paper handouts to electronic submissions, streamlined by event apps and audience response systems. Planners have the technology to gather feedback efficiently but are they getting the most out of it?

Polls and surveys engage attendees in event content, giving you an insight into how the event is being received. It can also give you a better understanding of the success of the event (i.e. did the event accomplish what it was trying to accomplish?) Whatever your objective is, the quality of the feedback you’re gathering is entirely dependant on the quality of the survey/poll which will either encourage or discourage participation.

It’s very important to think about the size of your event when gathering feedback, as this will indicate the appropriate sample size. Without enough participation, the pool of feedback won’t be an accurate representation of how all the attendees really feel. If you’re taking the opinion of a few as the consensus, you could be acting on bad information. Increased participation is just one of the many benefits of using event apps to gather feedback, and having surveys and polls available on all devices in all four app stores ensures every attendee has a voice.

Using the right kind of survey, at the right time, in the right way will strongly increase the amount of submissions and the quality of feedback. This blog aims to provide planners with the information they need to build better surveys and polls to best gather insights into how to improve their event and engage attendees.

Getting Started (Correctly)

At EventMobi we think about survey feedback in three different ways: live polls, session surveys and event surveys. Determining what you’re trying to accomplish with the poll or survey will inform which method of feedback you use, as well as what you’re asking, when you’re asking and how you’re asking questions. We could be here all day going through which questions you should or shouldn’t ask at every stage of the event. However, nailing down your objectives for the survey or poll and working back (with the advice below in mind) will result in a polished poll or survey your attendees will be happy to complete. For example, if your objective is to gauge the quality of speakers, you should create simple star rating questions in a session survey and send it out directly following the session.

Live Polls

Usually shorter than surveys, tied directly to sessions in the event app, Live Polls should be treated as part of the session and driven by the speaker. Particularly useful to serve real-time objectives, like taking the audience’s temperature throughout the event, measure interest in the current topic of discussion, or drive conversations around the consensus. Live Polls require the advocacy and adoption from speakers, as they will be implementing them during their session.

Session Surveys

Also tied directly to sessions in the event app, session surveys should be sent out either near the end or directly after the session. Since attendees might be on a break and certainly on the move, the questions should be short and easy to answer (e.g. star rating, yes/no, multiple choice.) Session surveys should focus primarily on the session they’re linked with, as that will be top of mind for attendees. Leading survey vendors offer content-specific questions so speakers can tailor the feedback to the topics discussed (i.e. multiple choice question asking what the key takeaway of the session was.) It’s also a great idea to encourage speakers to draw attention to the survey and budget enough time in the corresponding session for attendees to fill it out before the next activity.

Event Feedback Surveys

Not tied to a session, event surveys should be utilized to gather more detailed information about the event as a whole, used primarily for pre and post event information gathering.  Event surveys are usually the longest of the three types of feedback and the most appropriate to include open-text response questions. Since attendees will be receiving these surveys before and after the event, they will likely have more time to fill them out. However, filling out a survey may not be a priority for attendees before and after the event so bringing their attention to a survey will go a long way. Building a Better Survey or Poll

Technology improves the distribution and collection of surveys and polls, but it is also limiting in that they’re being viewed primarily on mobile devices, which means smaller screens and more distractions. It’s been said before but we’ll say it again: The number of questions, the length of the questions and the detail in each question all have an impact on the quality of the feedback you’re gathering. If the survey is too long, attendees are less likely to complete it, if the questions are too long, attendees are less likely to read it, and if there isn’t enough detail in the question, the answers won’t be useful anyway.

  • Keep to one topic per survey or poll.
  • Keep surveys short and to the point.
  • Keep questions as concise and specific as possible without excluding anyone.  

Bad Questions

The responses your attendees are willing to submit freely are a valuable commodity, so getting the most out of every question is very important. In addition to avoiding long and vague questions, you should also avoid:

  • Poor phrasing of the question or using jargon (e.g. In the session earlier today were you excited about the POTUS video clip?)
  • Leading questions (e.g. Was the keynote speech amazing or unforgettable?)
  • Asking questions that don’t matter. Understanding your audience is integral to understanding their feedback (e.g. If you’re asking a conference full of engineers which sessions they enjoyed most, it’s reasonable to assume their answers will lean towards engineering sessions.)

Good Questions

In addition to keeping questions simple and limited to one subject, your questions should also:

  • Focus on things that you have control of at the event (i.e. Multiple choice question asking if a particular session was an appropriate length of time.)
  • Give attendees the chance to answer fully by ensuring that they have an opportunity to articulate why they did or didn’t feel a certain way (i.e. a simple follow up question with an open-text response asking why they answered the way they did.)
  • Have a balanced and full range of responses so nobody feels forced into an answer that doesn’t accurately represent their feelings (which will ruin your data.) If it’s possible they don’t know, let that be an answer.

Strategic Tips

1. Introduce the concept of submitting feedback earlier with a ‘how-to’ as part of the opening session. In this session, explain, or better yet show exactly how to access the surveys and polls. Don’t just hit your audience with a 10 question open-text survey at lunch, as nobody will be interested in that.

2. Include a test live poll or survey with your ‘how-to’ to get the audience familiar with the process and treat it like a soft introduction. Pique your audience’s interest with a entertaining or contentious question about a relevant or fun topic (i.e. asking a graphic design conference what typeface they enjoy using most.) Intersperse fun or thought provoking questions throughout your surveys to keep attendees intrigued and wondering what the next question will be.

3. If you’re trying to measure the effectiveness of an education session, simply asking if they learned something isn’t going to reveal the quality of the session. Asking on a scale of 1-10 how much the audience understands the topic before and after the learning experience has taken place will effectively gauge the quality of the learning.

4. Introduce your event technology early to speakers who may be using it during their session and position it as a valuable addition to their session. Offer to collaborate on questions and involve the speaker as much they’re comfortable with. Speakers need to have an interest in using the technology or they won’t care to implement it correctly, negating any impact. If speakers are just blowing through live poll questions, not giving the audience enough time to reply, the audience will see submitting feedback as unimportant. If it seems annoying to the speaker, it’ll seem annoying to the audience.

5. Whether you receive happy or unsatisfied comments, consider replying to feedback. It may seem daunting depending on the size of your event, and we wouldn’t suggest replying to every comment but responding to genuine feedback will make your event stand out by ensuring your attendees feel heard.

An Event Kick-Off should be exciting and inspiring, not dull and boring. This is your chance to get everyone together in one room to bounce around ideas, get valuable feedback, and really set the tone for the rest of the year.

Aside from bringing the team together and getting enthusiastic about what’s to come, kick-off meetings allow you to gain perspective for the new year by reflecting on the previous year. You can celebrate successes, but also admit important failures and use them as learning points moving forward. These meetings also provide a chance for valuable team planning, training initiatives, and team building.

While you may want to treat a kick-off meeting like any other meeting, it’s important to give them the extra attention they deserve. You’re presenting and planning your entire year! It’s crucial to build the proper momentum with your team and you have about one hour to do so. If you’re stumped, we have some tips that will add some zest to your kick-off meeting last minute.

1. Change The Name Of Your Event Kick-Off

Consider not calling it an “event kick-off.” When you call it a “kick-off,” it implies a lot of the decisions have already been made without any input, and it could make some members on your team feel excluded. Also, “event kick-off” sounds stuffy, cliche and boring, doesn’t it? A more positive approach would be to name the meeting something that implies there’s still work to be done (which is true!).

Why not call your event kick-off ‘The Road Ahead 2016’, or ‘2016: Preparing for Growth’? You can still create slides ahead of time with information that’s already been decided for the new year, but giving it a fun name implies that there is room for ideas, changes, and input – which there should be. If team members feel like they’re going to be able to have an impact at the meeting, they’re more likely to actively listen and take part, rather than sit back and sip their coffee.

2. Make it Interactive

Everyone is going to roll into the meeting expecting to have to sit still for an hour or so and listen to the presenter. Chances are, most people are already checked out mentally before the meeting has begun. So switch it up! Start off your meeting by asking everyone to jot down some ideas for an upcoming conference or event.

Crowdsourcing feedback and ideas is simplified by event technology like a conference app with audience response systems. Allowing attendees to enter their questions or comments using the Ask-A-Question feature will give them the opportunity to vote up their favourite responses.

Alternatively you could open a survey or live poll and pose questions like: “What sessions do they think need to be included? What icebreakers worked really well? What presenters do they want to see again? Which type of food do they want to see at the next event?” While you may have already thought out your next event, you should keep the floor open to new innovative ideas that you may have missed. You can quickly set up live polling and have attendees vote on things within the event app, gathering data and results in real-time for an immediate impact, or download them later to crunch the numbers.

Consider a fun approach like a trivia game. At EventMobi, we use our company event app for office games to introduce some friendly competition. With gamification built into the event app, we set up a trivia game where the passcodes are the correct answers to questions about the company. If the objective is to review last year, create questions that go over details of last year’s events, such as “Which venue had the best coffee?” While this may feel like a game to your team, when you go over the answers, you’ll be surprised at the quality of the feedback. You’re getting valuable input from the team in quick and fun way!

3. Consider a Surprise Guest Speaker

While your event kick-off is likely already planned for 2016, it’s not too late to reach out to some contacts (and even clients) to come in and deliver a brief introduction or 15-minute inspirational talk. If you have a trustworthy client, perhaps they’d be interested in coming in to chat about a positive experience with your team they had in the past year. Within the event app, you can tease a surprise speaker by naming the session “Secret Speaker” and uploading a speaker profile with hints in the display picture and biography.

It doesn’t have to be complex, just something to shake things up and get your team to sit up straight and feel motivated to listen. You could even consider having someone make an appearance via Skype for a quick surprise.

4. Create a Networking Mixer

Gamification is also a great way to promote networking and team building. Make time in the middle of the meeting to get people up and out of their seats talking to one another. We saw one client create a “Meet the Founder” challenge as part of their event game where staff had to find the Founder, say hi, and he would give them his passcode. This is a great way to encourage junior staff to meet more senior employees. You can have questions such as “Find a colleague who has been around longer than five years” or “Who has been a part of the marketing team longest?” This is also a really great way for team members to meet a mentor for the 2016 year and a really great icebreaker overall.

Company wide meetings don’t have to be a one way street where a speaker stands at the front to relay a bunch of important information. Rather, they can be an exciting and inspiring time for the whole team to get together, meet one another, and feel ready to really take on the new year. Don’t overlook the small details and don’t be afraid to take some small risks with your event kick-off .
