2018 has been a pretty impressive year in the world of design. Microsoft recently rolled out new logos for their Office Suite. The World Cup 2018 saw all 32 teams with new kit designs, and furniture companies such as IKEA released products introducing clever space saving designs for urban living. What’s clear is that brand recognition and simple, sophisticated product design matters more than ever across all industries, and the event technology space is no different. We asked our Customer Experience team to reflect on some of the amazing clients and app designs they’ve seen this year. 1) 2018 OFA Annual General Meeting

Ever since the company began, our Support Team at EventMobi has been attending client events to help provide onsite support and ensure their success. But not everyone has the opportunity to invest in the many types of professional services we offer, so we’ve compiled a list of questions most asked by attendees to ensure you are prepared and can provide a seamless experience using an event app.

One of the biggest barriers to attendee event app adoption is not having adequate and knowledgeable staff support available for attendees who may have questions about access or specific functionality. Review these questions and share with your team so come event time, you’re ready to go!  

Top 6 Questions Attendees Will Ask When Using an Event App

1. How do I download the event app?

If this question is being asked onsite, you may have missed some opportunities for advanced promotion and adoption. Ensuring that app download instructions are included in your pre-event communications is a great way to avoid this question from coming up while at the event. With that being said, some attendees will need assistance with this onsite.

The question of how to download depends on a few factors:

  1. What type of device is the attendee using?
  2. What app delivery method are you using? Are they downloading the EventMobi Universal app? Accessing through their web browser? Or do you have a branded native app?

By asking your attendees about their device type and understanding the way in which they will need to download the event app, you’re armed and ready to address this question.

2. Can I take and download notes?

This is an easy one! Your attendees can definitely take and download their notes. All they have to do is navigate to the agenda session or exhibitor they are looking to takes notes on, and click the “Add Your Notes” button.

Once the event has come to a close, attendees will likely want to access their notes outside of the event app. This is also easy; have them follow these three steps:

  1. Navigate to the Attendee Dashboard by clicking the profile icon in the top right corner
  2. Click the “Notes” button and press “Email Me My Notes”
  3. An email will be sent to the email address they logged into the app with.

 

3. Can I access presentations and handouts on the event app?

This one depends on if you want attendees to have access to this.  As a best practice to event app adoption, we recommend making handouts and presentations available on the event app within the speaker sessions or in a documents library.

Be sure to note that if you do plan on making the presentations available, your onsite staff are aware of this so they can instruct attendees when this question inevitably comes up.

To access the event app Documents section, attendees can navigate to the agenda session and scroll down to see the linked presentations.

4. I’d like to share my photos! How do I do this?

The answer to this question also depends on how you’ve configured your event app. If you’ve enabled the activity feed, your attendees can easily post their photos and ‘like’ other attendees’ photos as well. This is a great way to increase engagement on the event app and also collect some cool photos of the event that you can use when you start promoting your next event.

If the activity feed is enabled, simply have your attendees navigate to this section, click the camera button and share the photo from their device. They can also add text alongside the image.

5. How do I personalize my schedule?

Prior to your event, you have the option to create personal schedules for your attendees, or you can allow them to create their own when navigating the agenda. Once created, attendees will likely be wondering where they can access their full personal schedule. All they have to do is the following:

  1. Click on the profile icon in the top right corner
  2. Click on the agenda button
  3. View schedule

6. How long do I have access to the event app?

Most planners will keep attendee access to the event app open for a specified amount of time after the event takes place. Many event planners use this time to continue engaging their attendees with surveys, networking and allowing attendees access to the presentations and session content.

You can determine how long you expect to keep the event app active and communicate this to your team so they’re aware of the timeline and can let attendees know when they ask. We recommend trying to keep engagement going for a few months after the event, if possible. There’s also the option of investing in a multi-event app if you have many events happening throughout the year. This way, you can keep engagement high in between events through communications features like push notifications.

Your Attendees Will Remember your Interactive Session

A common event objective that we hear from event planners is the desire to make sessions more interactive and engaging for attendees. An easy way to achieve this is to introduce live polls or allow attendees to submit questions to the speakers through an event app. However, this approach means you have to get buy-in and begin preparing event speakers to effectively execute these tools.

Depending on the speaker’s familiarity with these event app features, there may be some resistance in adopting the tools as an additional way to further engage the audience.

Preparing event speakers is easy, here are some steps to make this step seem less daunting and get your speakers onboard to run and facilitate their own interactive sessions! With a little planning and education, attendees will be able to experience an engaging and interactive session.

Step 1: Be Strategic About Execution

Before you introduce the idea of an interactive session to your speakers, it’s important to consider how you are going to use this functionality throughout your event rather than just as a one-off during a session.

Using polls at strategic points within your event such as during the opening session and any general sessions are great ways to introduce your attendees to the concept of live polling if you plan on using it throughout the other sessions. For the Ask-a-Question functionality, you can consider using it during your keynotes and panel discussions. Introducing these features at the beginning of the event sets the tone and expectation that these functionalities will be an integral part to the event experience. Attendee will be excited to participate and engage.

While too much engagement and interactivity is never a bad thing, you want to be cognizant of when tools that encourage such actions are used. The key is to ensure they are helping to improve the quality of the session. Setting up a live poll or opening the floor to questions needs to have a clear objective in mind and bring value and purpose.

Step 2: Test Knowledge or Gather Insight

As you prepare your event speakers for what questions they may want to utilize in a poll, there are two ways you can help them invision their session using this functionality:

  • Testing the audience’s knowledge
  • Gathering insight or feedback from the audience

For example, you could set up a question asking the attendees a specific question where the content was covered during the session to see whether they were listening/understood the content. The speaker can then use this to guide the discussion moving forward.

Alternatively, they can pulse check the audience by setting up a question to gauge their opinion on a given topic and then use that to fuel the direction of their talk.

Using these two easy examples is a great way to get your speakers considering what questions they may want to ask the audience. It can also be a great way to get their buy-in!

Step 3: Collect Questions In Advance

Once you’ve gotten buy-in from your speakers on using Live Polls to enhance the interactivity of their session, the next step is to collect questions from them to input in the event app’s Content Manager.

While we recommend collecting questions in advance, you can set up a new poll or enable Ask-a-Question during the event itself. As a best practice, we recommend they also add a slide into their presentation that includes the question and prompts the participation in the poll. Speakers should also consider how they would like to best incorporate and display poll results in their presentations.

Step 4: Communicate Best Practices to Your Event Speakers

There are a few other best practices you should communicate to your speakers in advance of their session.

  • The speaker should introduce the poll and read the question out loud
  • Give attendees enough time to pull out their device and respond to the question (estimate 1-2 minutes per session)
  • Reflect on the responses and use this to drive further conversation as part of the session

Step 5: Run a Training Session & Test Run with Your Speakers

As a last step before the live event, it’s important to make sure your speakers feel confident. You could consider having an onsite drop-in session the day before they are set to speak.
